About Smartsheet
The Smartsheet integration lets Serval workflows read the tasks in a project sheet and update them. In Smartsheet a task is a row, and each task field is a cell in a column the sheet owner named, so the included workflows address columns by title (for example, Status or Assigned To). Workflows can read any sheet, report, workspace, or other object the connected user can open, and can add, update, and delete rows and comment on rows. Attachments, sharing, and user administration are not available through this integration. Authentication: A Smartsheet API access token. Serval stores the token securely and sends it as a bearer token only to the Smartsheet API host for the region you select (United States, European Union, or Australia). Smartsheet Gov is not supported. Data sync: On demand. Serval reads from Smartsheet when a workflow runs and does not perform a background sync.API access requires a Smartsheet Business, Enterprise, or Advanced Work Management plan.
Create an API access token
Workflows act as the Smartsheet user who owns the token. We recommend a dedicated service-account user, shared into every sheet your workflows use, with Editor access or higher on sheets where workflows make changes.1
Sign in as the service user
Sign in to Smartsheet as the user Serval will act as.
2
Open API access
Select your profile image at the bottom of the left navigation, choose Personal Settings,
and open the API Access tab.
3
Generate the token
Select Generate new access token, name it Serval, and copy the token. Smartsheet shows it
only once.
Connect in Serval
1
Name the connection
Enter a recognizable instance name, such as Production.
2
Select the region
Choose United States, European Union, or Australia. Accounts that sign in at app.smartsheet.eu
are in the EU region, and accounts that sign in at app.smartsheet.au are in the Australia region.
3
Enter the token
Paste the API access token and submit the form.
Verify the connection
Serval checks that it can read the token’s own user and list the sheets shared with it. A failed check usually means the token is invalid or revoked, the wrong region was selected, or the account’s plan does not include API access.Included workflows
The update and add workflows refuse, without changing anything, when a column does not exist, is calculated by Smartsheet (such as Created By or an auto-number column), is locked and the token’s user is not the sheet owner or an admin, holds a formula, or is linked from another sheet. Multi-select dropdown and multi-contact columns can be written only through a custom workflow.
Smartsheet allows 300 API requests per minute per token and rejects concurrent writes to the same
sheet. Serval waits and retries when either limit is hit.
